The Award Snapshot and Attachment (example) provide key information regarding an award agreement based on the award terms and conditions. These documents become available in the ORA Online Resource Center two business days after the Principal Investigator and designated department administrator receive an email notification that the award has been fully-executed.

Award Snapshot Sections

Demographics: Principal Investigator, department, sponsor name, and other basic identifying information.

  1. Award Summary: Project Title, Budget Period, Project Period, Per Action Awarded Amount, and Total Award Amount
  2. Special Attention Needed: Highlights important such as e-Verify requirements, awards issued in foreign currency, or awards subject to a salary cap
  3. Award Demographics: Sponsor and UCLA (PATS) Award Number, Award Status, Pre-Award Spending, and Budget Information per Budget Period, including the Awarded Amount, Direct Costs, F&A Costs, F&A Rate and Base, and the Payment Basis
  4. Subawards: Outgoing Subawards and Subcontracts approved as part of the award agreement
  5. Training Grant Approved Slots: Number of slots for trainees authorized under the award
  6. Program Income, Cost Sharing and Compliance Requirements: Special Review Types such as Principal Investigator Exception, Carryforward, Prior approvals, No-Cost-Extension, and human or animal subject approvals
  7. Deliverables: Financial deliverables (e.g., invoices) and non-financial deliverables (e.g., , technical or progress reports)
  8. Other Investigators: UCLA Principal Investigators listed on the award, including co-Principal Investigators and former Principal Investigators
  9. Contacts: Assigned Extramural Fund Management (EFM) and Office of Contract and Grant Administration (OCGA) staff members. If the Technology Development Group (TDG) or Clinical Trials Contracts & Strategic Relations (CTC&SR) is listed, the award was processed through those offices rather than OCGA.

The Award Snapshot Attachment prepared by OCGA and included with the Award Snapshot, provides additional detail in the following areas:

Alerts: Additional information related to the Award not included in the main Snapshot, such as non-standard terms and conditions or specific requirements for the Principal Investigator. This section often contains critical action items and should be reviewed carefully.

Compliance Requirement(s): Special compliance related to the project, such as Financial Conflicts of Interest (FCOI) disclosures, Institutional Review Board (IRB) and Animal Research Committee (ARC) approval,
