Submission of a Trainee Diversity Report within the RPPR is a longstanding requirement for certain NIH institutional training, career development, and research education grants. Previously, this required manual collection of demographic information from trainees to complete the report. In order to reduce administrative burden, NIH eRA has developed a streamlined Trainee Diversity Report that collects existing demographic information entered by trainees and other appointees in the Personal Profile of eRA Commons during the appointment process.

The automated report will be available effective Friday, October 30, 2020. In addition, inclusion of the automated report in the RPPR will be required as of that date for the following award types:

  • T15
  • T32
  • T34
  • T35
  • T37
  • T42
  • T90
  • TL1
  • TU2
  • TL4
  • R38
  • RL5
  • RL9

For the following mechanisms, the eRA system will check to see if any appointments were made electronically in xTrain. If appointments were made, the system will require the automatically generated report. If no appointments were made, a manual upload will be required.

  • K12/KL2
  • R25
  • KM1
  • R90

Because the automated reports are generated from trainee Personal Profiles, it is important that trainee Personal Profiles are complete and accurate. While ‘Do not wish to provide’ is an available option, accurately completing demographic information assists NIH in their goal of achieving a diverse biomedical workforce. Demographic information is collected at an individual level in the Personal Profile, but is aggregated in the automated reports.

Complete details on this new requirement are provided in the attached document. We encourage PD/PIs and research administrators who are responsible for the award mechanisms listed above to review information, and to remind trainees to complete and maintain their Personal Profiles in the Commons.
